Assessment Overview
These assessment tasks will assess your skills and knowledge required to manage a project’s integration.
The Assessment is divided into four (4) Assessment Tasks. You are required to answer all questions within each Assessment Task and be assessed as “Satisfactory” in each to gain competency in BSBPMG521 Manage Project Integration.

Element Performance Criteria
1. Establish project 1.1. Identify, clarify and prepare project initiation documentation

Assessment tasks overview

Assessment Task 1 ‒ Questioning
You will gain an understanding of the governance project models, methodologies that are required for effective project management. You will summarise a project’s life cycle. You will also describe the various documents that are required to manage a project’s integration and the legislative requirements.

Assessment Task 2 ‒ Project A
Using a case study, you will create the documentation you learnt about in Task 1. You will need to deal with real-life scenarios that threaten a project’s completion. You will also need to use your analytical, negotiation and people skills to keep the project on track. You will then create a project charter and finally, you will need to report on the challenges you have had with the project to date and how you plan to overcome them.

Assessment Task 3 ‒ Project B
You will use the documentation you produced in Task 2 to gain client’s approval for the plans, including changes made to the initial documents due to issues you have dealt with along the way. Dealing with a series of real-life scenarios that will further delay the project. You will need to work out how to deal with these hurdles in order to meet the objectives of the project.

Assessment Task 4 ‒ Written tasks
You are to document various changes to the project’s plan and put in place the appropriate mechanisms to ensure the project is completed. Finally, you will write a project review that documents the changes made to the project, how the challenges were overcome, and lessons learnt for future projects.

Assessment Task 1 – Questioning
Question 1:
Outline the three (3) pillars of project governance.
List the core four (4) principles of project governance.
Explain how the project governance models work with these principles to ensure the project effectively meets the goals and targets.
Question 2:
List eight (8) project methodologies that could be used to create project deliverables.
Outline how one method breaks project objectives into achievable deliverables.
Explain which method you personally prefer and why.

Question 3:
Outline the project life cycle.
Describe the activities that should occur at each stage of the life cycle.
Question 4:
Identify organisational documentation that can be used to record strategies and goals.
Describe which of these documents are best used for the management of the project integration process.

Question 5:
Explain why it is important to adhere to organisational and legislative requirements.
Outline how can ensure you are compliant with these requirements.

Assessment Task 2 – Project A

Case study scenario 1:
OzMarket Consulting has been engaged to manage a project building the premises for a school of project management, PM Solutions. OzMarket Consulting has not been provided with many details of the project at this point. However, what you do know is:
The project will commence construction on the new building in eight (8) weeks
Student intake will commence on the 1 January next year
Budget of $5,000,000 has been approved
In principle, conditional support for your position as the project manager has been approved. This approval is dependent upon how you create the governance documentation for the project
All other details are to be negotiated as the project progresses
About PM Solutions:

PM Solutions aims to become the leading provider of project management training courses within the state. They are going to offer both online and face-to-face training in state-of-the-art facilities that allow the learners to gain as much real life experience as possible. Currently PM Solutions is working from a small office space and renting class space at the local RSL Club.
Question 1:
Identify and clarify the required project initiation documentation, then prepare project initiation documentation. Answer in 40 – 80 words.
Note: Ensure you identify the relationship between the project and the broader organisational goals of PM Solutions.

Case study scenario 2:
You’ve not yet received many details from PM Solutions and the project planning is becoming bogged down with issues relating to:

Benefits
Governance structure
Before the project can move any further forward, these issues will need to be solved, but to date PM Solutions has been reluctant to give firm commitments. You are going to have to negotiate with them to get answers.
Question 2A:
Create a negotiation plan which will assist you to guide the discussions with PM Solutions to decide on the project goals and objectives.
This negotiation plan is to detail:
Why the decisions need to be made
The benefits of having firm goals and objectives
Examples of goals and objectives from similar sized projects
Benefits and outcomes of the project
Advice on governance structure
Answer in 100-250 words.
Question 2B:
You are going to take part in a Simulated Workplace Scenario with your Trainer & Assessor.
You are to play the role of the Project Manager. Your Trainer & Assessor is to play the role of the client representative from PM Solutions.
Refer to the negotiation plan you developed in Part A and carry out the negotiation process. This negotiation should result in clear objectives and goals for the project.
NOTE: Your Trainer & Assessor will observe this meeting and complete the Observation Checklist in the “BSBPMG521 Marking Guide” provided on Moodle.
Document the outcomes of the negotiation and submit to your Trainer & Assessor with your negotiation planning document. Outline the strategies you used to achieve your goals.
Question 3:
Create a project charter for this project.
Use the template called “Project Charter Template” provided on Moodle to create your charter.
Save your charter as “Project Charter – Your Name”, replacing “Your Name” with your first and last names. Ensure you upload the Project Charter as part of your assessment submission.
Question 4:
Create a report which outlines project deliverables, as informed by the project’s goals and objectives. Select a project methodology which will allow you to develop project deliverables. Ensure your report provides the following information:
Name the methodology at the top of the report.
Using the deliverables, client requirements and project objectives, identify the stages of the project.
Once the stages of the project have been identified, determine and list the key requirements for completion of each stage.

Save your report as “Project Deliverables Report – Your Name”, with “Your Name” replaced with your first and last names. Ensure you upload the report as part of your assessment submission.

Question 5:
Develop a comprehensive project plan. This plan must:
Identify interdependencies
Identify the constraints and the impact of these constraints
Integrates all project management functions into a working plan
Include baselines and timelines
Include mechanism, tools and templates that could be used to monitor and control all planned activities
Outline priorities to ensure all tasks are completed
Save your plan as “Comprehensive Project Plan – Your Name”, with “Your Name” replaced with your first and last names. Ensure you upload the plan as part of your assessment submission.

Assessment Task 3 – Project B
NOTE: This Task and its case study follows on from assessment Task 2.
Question 1:
Using the project plans and documents you created in Task 2, you now need to submit the plans and negotiate with the client to gain approval for the plans and documents.
Submit the plans and documents to your Trainer & Assessor for review via Moodle. This includes the:
Project Charter
Project Deliverables Report
Comprehensive Project Plan

Once your Trainer & Assessor returns the documents, finalise the plans and documents. Save your documents as follows:
Project Charter – “Project Charter Revised – Your Name*”
Project Deliverables Report – “Project Deliverables Report Revised – Your Name*”
Comprehensive Project Plan – “Comprehensive Project Plan Revised – Your Name*”
*Replace “Your Name” with your first and last names.

Ensure you upload these documents as part of your final assessment submission.

Case study scenario 3:
As you are managing the project a variety of issues have arisen. These include:
Non-conforming materials being delivered to the site
Variations to the contract being requested by the client
Weather delays that have slowed the project significantly
Issues with suppliers, one of whom has gone bankrupt
Problems with gaining council approval for some aspects of the project
Question 2:
Create a report that outlines how you would manage these various situations. Ensure your report:
Describes which problems and issues align with the organisational objectives for the project
Explains how you will ensure these issues are dealt with in a manner that ensures the links between project objectives and organisational objectives is maintained
Outlines how you would ensure the project integrates goals and functions throughout the lifecycle of the project to meet both project and organisational objectives
Answer in 200-400 words.

Case study Scenario 4:
You have arrived at the project to find two work teams arguing.
The team who are working on the foundations have been delayed due to weather. This means the team who were supposed to start working on framing are unable to start. This will lead to the framing team being unable to complete the activity on time, delaying them starting their next project.
The Team Leader of the framing crew is threatening to leave the site and not complete the work activities, which would leave you having to find another framing contractor. You need to keep this framing crew on site.

Question 3:
You are to resolve the conflict with the framing team so that they will stay on-site and complete the activities. Set up a meeting with:
Yourself, role playing being the Project Manager
The Team Leader of the framing crew, as role played by your Trainer & Assessor.
Use the meeting to discuss the situation and negotiate a solution with the Team Leader of the framing crew.
After the meeting, record notes of what was discussed.

Assessment Task 4 – Written Tasks
NOTE: This Task and its case study follows on from assessment Tasks 2 & 3.
Case Study Scenario 5:
The project has started; most activities are moving satisfactorily, with the exception of monitoring activities.
Question 1A:
Create a schedule for updating project records against project deliverables. This schedule must be able to be used to ensure plans are updated at regular intervals.
Question 1B:
Using the data created throughout this assessment, create a status report which:
Outlines the current state of the project
Identifies any issues and the consequences
Provides an overview of any negotiated outcomes
Gives a prognosis or recommendations
Case Study Scenario 6:
The following changes were requested over the life of the project:
Structural changes to the frames resulting in a delay of three (3) weeks.
Amendments to the schedule to ensure the completion of activities.
Overall, however, for a project of this size, there were very few change requests submitted for approval.
Question 2:
Conduct an analysis of change requests and determine the impact on the project. Create a short report communicating this impact to the client.
Question 3:
Create project logs and registers which will allow you to track activities on the site. These logs and registers must be able to assist in audit conditions.
Ensure you give details and instructions about when and how logs, registers and records should be completed.
Due to the delays caused by the foundation and framing conflict, the project schedule has been delayed by two (2) weeks. Note what details would need to be included in the project plans to ensure this progress is reflected in all baselines and schedules.
Create a schedule which reflects this delay.

Question 4:
Create a list of all finalisation activities that will need to be completed. Allocate these tasks to staff members to complete.

Question 5:
Finalise all project deliverables, milestones, targets, goals, documentation, finances, and legal and contractual obligations ready for client handover.

Question 6:
Create a Lessons Learned Report. Ensure the report highlights opportunities for improvement, both for the management of projects and for yourself.
Identify any areas you feel you could improve upon when managing projects and outline how you can make these improvements.
Use the template provided on Moodle called “Lessons Learned Report Template” to create your report.
Save the report as “Lessons Learned Report – Your Name”, replacing “Your Name” with your first and last names. Ensure you upload the report as part of your assessment submission.
